Operations Representative
Based at Baton Rouge, LA
Responsible to : Operations Manager, Baton Rouge
Job Purpose:
- Responsible for overseeing and coordinating all activities for vessels while in port, including boarding and husbanding vessels under minimal supervision. This also includes all necessary arrangements and coordination prior to the vessel’s arrival to affect a smooth and efficient turnaround. This position generally works autonomously, referring only exceptional problems for the supervisor; the supervisor usually follows up only where an assignment has not been completed satisfactorily.
Key Responsibilities:
- Key responsibilities according to ISS Quality manual section 13.6.
- Coordinate and update all parties concerned, of latest movement or change of vessel position prior to, and during, vessel arrival/departure.
- Work with Principals, terminal operators, stevedores, port authorities, government officials and other parties to ensure safe and efficient practices and methods.
- Orientation and familiarization of principals to various characteristics of the port area, terminals, etc.
- Send proformas for existing and new principals.
- Arrange all Port services necessary for vessel operation, exercising discretionary judgement to contract with local vendors as appropriate.
- Responsible for communications between owners/operators and/or charterers of vessel.
- Maintain communication with Federal and State authorities, local pilots, terminal operators, towboat companies, port authorities, stevedores, etc., in order to ensure a smooth and safe operation during a vessel call.
- Act as a liaison between the Ship Master/crew with parties mentioned above.
Additional Duties:
- Closing of vessel files in conjunction with the Principal’s instructions and ISS Quality guidelines. Setup vessel files, create appointment numbers (when applicable) prior to arrival and/or communication to ensure safe and smooth operation of voyage. To maintain and update the vessel activity in POPDA. Request and ensure the receipt of adequate funds from the Principals to cover port expenses. Monitor expenses during port call to ensure that expenses do not exceed available funds. Request additional funds from Principals as appropriate.
- Prepare or secure various forms and documents required by State and Federal authorities. Prepare or secure cargo documentation including but not limited to Statement of Facts, Notice of Readiness, Cargo manifest and Bills of Lading. Keep track of services ordered. Respond to routine communications.
Territory/Scope:
- Mississippi River Terminals from miles 146.1 to Miles 234 (Grandview Anchorage to Baton Rouge), Support New Orleans when Necessary
